Cost to build Amazon FBA reimbursement software: calculator, coins and an Amazon reimbursement dashboard

Building Amazon FBA reimbursement software costs about $15,000 to $60,000 for an internal tool that audits your own account, $50,000 to $150,000 for a workflow product with evidence packs and case tracking, and $120,000 to $300,000+ for a multi-seller commercial platform. Add 15% to 25% of the build cost every year to maintain it.

Those ranges are Refunzo estimates built from published 2026 SaaS development benchmarks, not vendor quotes. For most sellers, buying amazon reimbursement software or a service is cheaper: an FBA reimbursement service typically charges 10% to 25% of what it recovers, and Refunzo runs a free reconciliation across 21 checkpoints before you spend anything.

One more factor changes the math. Since March 31, 2025, Amazon values most items lost or damaged before a customer orders them at your manufacturing cost, not your selling price. The amazon fba reimbursement manufacturing cost rule means there is less money to recover, so software has to pay back from a smaller pool.

What Is Amazon FBA Reimbursement Software?

Amazon FBA reimbursement software is a tool that compares your Seller Central data to what Amazon actually paid, then flags lost, damaged, or mis-billed inventory you can claim. Some tools only detect problems. Others also prepare evidence and file cases.

A reimbursement is money, or inventory credit, that Amazon owes you after it loses or damages FBA stock or bills a fee in error. Software typically reads four reports through Amazon's Selling Partner API (SP-API): the Inventory Ledger, the FBA Customer Returns report, the Reimbursements report, and Removal Order Detail.

There are three ways sellers get this software:

How Much Does Amazon FBA Reimbursement Software Development Cost?

Amazon FBA reimbursement software development cost runs from $15,000 for a simple internal detector to $300,000+ for a commercial multi-seller platform. Location of the team is the biggest swing factor, and a 2026 SaaS benchmark shows South Asian agencies charging $15K to $35K for a simple MVP, Eastern European agencies $35K to $65K, and US agencies $80K to $150K for the same scope.

The table maps those benchmarks onto reimbursement software. The scope notes are ours.

TierWhat you getEstimated costTimeline
1. Internal detectorSP-API report ingestion for your own account, discrepancy rules, CSV or dashboard output. You file claims by hand.$15K to $60K10 to 16 weeks
2. Workflow productTier 1 plus evidence-pack builder (invoices, shipment records), deadline queue, case tracking, reversal alerts$50K to $150K14 to 20 weeks
3. Commercial platformTier 2 plus multi-tenant accounts, seller onboarding via Login with Amazon, billing, reporting, accounting sync, Amazon app review$120K to $300K+20 to 32+ weeks

What Drives the Cost?

Five things move the price most: team location, number of claim categories, evidence handling, filing automation, and whether you serve other sellers. Each one adds engineering hours.

  1. Team location. US senior engineers bill about $120 to $220 per hour, while nearshore and offshore teams run $25 to $100, according to Squash Apps' 2026 cost guide.
  2. Claim categories. Detecting lost inventory is simple. Customer-return gaps, removal shortfalls, and fee overcharges each need separate logic. Refunzo's own audit covers 21 checkpoints across shipments, inventory, payments, fees, and refunds.
  3. Evidence handling. Pulling carrier proof of delivery and matching supplier invoices to units is document processing, not just reporting.
  4. Filing automation. This is the riskiest part. Duplicate or weak filings can hurt account health, so build a human review step and confirm what Amazon's current APIs and portal support before scoping.
  5. Multi-seller scope. Serving other sellers adds multi-tenant architecture, permissions, billing, and Amazon's developer review. Amazon requires an architecture review for applications that request restricted roles, which are the roles that touch personally identifiable information.

What Does It Cost to Run After Launch?

Expect to spend 15% to 25% of the original build cost every year on maintenance, plus hosting. Eltex Soft's 2026 guide uses that maintenance range, and Squash Apps puts hosting at roughly $200 to $400 per month for a small app and $800 to $2,000 per month for a production SaaS.

For a Tier 1 internal tool, that works out to about $5,000 to $20,000 per year (our arithmetic: 15% of $15K plus $200/month hosting at the low end; 25% of $60K plus $400/month at the high end). Reimbursement software also has an unusual maintenance burden: Amazon changes claim windows, report formats, and valuation rules, so rules need regular updates.

AI coding tools help, but modestly. One 2026 analysis finds AI lowers custom software costs by roughly 30% to 40% on some tasks, while specialists are still needed for the expensive parts, and AI tool subscriptions add $500 to $2,000 per month for a team.

Why Does Amazon FBA Reimbursement Manufacturing Cost Change the Math?

Amazon now reimburses items lost or damaged before a customer orders them at your manufacturing cost, not your selling price. Amazon defines manufacturing cost as what it costs to source or produce the unit. It excludes shipping, handling, and customs duties. Items lost after a customer orders are generally still paid at the order's sale price minus applicable fees.

The policy took effect March 31, 2025. Our breakdown of the 2025 reimbursement policy changes and our explainer on Amazon's FBA inventory reimbursement policy cover the details.

Example. A product sells for $35 and costs $12 to source, plus $3 for freight and duties. If Amazon loses 100 units before an order, it owes about $1,200 (100 × $12), not $3,500 (100 × $35), and nothing for the $3 freight and duties.

If you never enter real costs on Amazon's Manage Your Sourcing Cost page, Amazon fills in its own estimate, which can land below your true cost. Fixing that is free, and it is the highest-return step in this entire article.

Why this matters for software: the amazon fba reimbursement manufacturing cost basis shrinks every recoverable claim. A tool that cost $50,000 to build now pays back from smaller recoveries, which pushes the break-even point further out.

Does Amazon Charge for SP-API Access in 2026?

No. Amazon cancelled its planned SP-API fees on May 12, 2026. The fees would have applied only to third-party developers serving other sellers, never to sellers using the API for their own account.

The timeline matters if you are budgeting a commercial product:

DateEvent
Nov 3, 2025Amazon announces a $1,400 annual developer fee plus usage tiers
Jan 31, 2026Annual fee was scheduled to begin
Mar 9, 2026Amazon postpones the program indefinitely
May 12, 2026Amazon emails developers that usage and annual fees will not move forward "at this time"

The wording "at this time" means fees could return. Under the cancelled schedule, a tool with 1,000 customers was estimated to pay Amazon roughly $10,000 per month. If you build a multi-seller product, keep a contingency line for that.

When Does Building Beat Buying?

For most sellers, building does not pay back. It starts to make sense only when your annual FBA sales are in the eight figures, you already employ developers, and you want to own the data.

The table below shows the ceiling on what you could save by building. It uses the commonly cited vendor estimate that sellers lose 1% to 3% of annual revenue to FBA errors. That is not an Amazon figure, and real recoveries are lower because of manufacturing-cost valuation and Amazon's own auto-reimbursements. Treat these as upper bounds.

Annual FBA salesPossible discrepancies (1% to 3%)Fee at 15%Fee at 25%Fee with Refunzo (15%, $5K cap)
$600K$6K to $18K$0.9K to $2.7K$1.5K to $4.5K$0.9K to $2.7K
$3M$30K to $90K$4.5K to $13.5K$7.5K to $22.5K$4.5K to $5K
$12M$120K to $360K$18K to $54K$30K to $90K$5K

Reading the table:

Building also never removes the labor of gathering invoices and handling appeals. A capped fee changes the comparison sharply, since Refunzo's fee stops at $5,000 per account (see pricing for current terms).

How Do You Decide in Five Steps?

Decide in five steps: fix your costs, run a free audit, size your recoverable money, price your options, then pick an owner.

  1. Enter real sourcing costs. Update Manage Your Sourcing Cost in Seller Central. Use unit cost only, without shipping, handling, or duties.
  2. Run a free reconciliation. Connect Seller Central to Refunzo to see what Amazon owes you across 21 checkpoints. You can file every case yourself at no cost.
  3. Size the opportunity. Take the dollar total from step 2, not the 1% to 3% rule of thumb. Real data beats an estimate.
  4. Price three options side by side: your own build (use the Tier table), a subscription amazon reimbursement software tool, and a contingency service.
  5. Assign one owner and a monthly date. With 60-day windows, a quarterly or yearly review lets claims expire.

Where Does Refunzo Fit?

Refunzo is a managed FBA reimbursement service for third-party Amazon.com sellers, including private label, wholesale, online arbitrage, and brand owners. It is an Amazon SPN software partner, and its site reports more than $10 million recovered for sellers and service since 2014.

The model has two steps. Reconciliation is free for life: Refunzo runs 21 checkpoints and shows what Amazon owes. Filing is optional: you can submit every case yourself, or Refunzo logs, substantiates, and follows up for 15% of what Amazon actually pays, capped at $5,000 per account. Connection runs through Amazon's own authorization flow, and Refunzo says it never asks for or stores your Seller Central password. See how it works for the full process.

Frequently Asked Questions

How much does it cost to build Amazon FBA reimbursement software?

About $15,000 to $60,000 for an internal tool, $50,000 to $150,000 for a workflow product, and $120,000 to $300,000+ for a commercial platform. These are estimates derived from 2026 SaaS benchmarks, and location of the build team is the largest variable. Plan on 15% to 25% of the build cost per year for maintenance.

How long does it take to build?

Roughly 10 to 16 weeks for a simple internal tool and 20 to 32+ weeks for a multi-seller platform. Amazon's developer review adds time if you request restricted SP-API roles.

Does Amazon charge for SP-API access?

Not currently. Amazon announced a $1,400 annual developer fee in November 2025 and cancelled it on May 12, 2026, "at this time." Sellers using SP-API for their own account were never charged.

How does Amazon calculate FBA reimbursement value?

For items lost or damaged before a customer orders them, Amazon pays your manufacturing cost, which excludes shipping, handling, and duties. For items lost after an order, it generally pays the sale price minus fees. Set accurate costs on Manage Your Sourcing Cost.

What is the cheapest way to start recovering money?

Update your sourcing costs, then run a free reconciliation and file claims yourself. Refunzo's reconciliation is free for life. Subscription tools starting around $15 per month are the next-cheapest option.

How much does an FBA reimbursement service cost?

Most charge 10% to 25% of the money they recover, and some add setup or monthly fees. Ask what the percentage applies to, including money Amazon pays automatically. Refunzo charges 15%, capped at $5,000 per account.

Is it worth building my own Amazon reimbursement software?

Usually not below about $3M in annual FBA sales. Above roughly $10M, with in-house developers and a claims owner, a custom build can pay back within one to two years. Run your actual reconciliation numbers first.

Can AI coding tools cut the cost?

Somewhat. AI tools can lower build effort on routine code, but the savings are modest because specialists are still needed for integrations, rules, and compliance. Subscriptions for a team also run $500 to $2,000 per month.

What claim windows must the software enforce?

About 60 days for fulfillment center losses, 60 to 120 days for customer returns, 15 to 60 days for inbound shortages, and 15 to 75 days for lost removals. Amazon changes these, so confirm in Seller Central.

Is it safe to connect Seller Central to a reimbursement tool?

It can be, when access is limited. Use Amazon's authorization flow, never share your main login, ask which permissions are needed, and confirm how access ends when you leave.

Bottom Line

Building Amazon FBA reimbursement software costs $15,000 to $300,000+ plus ongoing maintenance, and the amazon fba reimbursement manufacturing cost rule makes every recoverable dollar smaller. For sellers under about $3M in annual FBA sales, buying wins. Start free: run Refunzo's reconciliation and see the real number before you decide.
