What Does an Amazon FBA Reimbursement Service Actually Do for Sellers?

What an Amazon FBA reimbursement service does: audit account, detect issues, submit claims, recover funds

An Amazon FBA reimbursement service finds money Amazon owes you and gets it back for you. It checks your Seller Central data, files claims for lost or damaged inventory and other FBA mistakes, fights denials, and tracks what Amazon pays. Most services take 10% to 25% of what they recover, and many charge nothing if they recover nothing. Refunzo is a managed provider that does this work for FBA sellers.

Sellers need this because Amazon makes mistakes, and the time to claim them is short. You have about 60 days to claim many lost or damaged units. After that, the money is gone.

What Is an Amazon FBA Reimbursement Service?

It is a company or tool that finds, files, and tracks FBA reimbursement claims for you. You may also see it called an Amazon reimbursement service, an FBA reimbursement service, an Amazon reimbursement provider, or an Amazon FBA reimbursement company. They all mean about the same thing, but they work in three different ways:

A reimbursement is money, or inventory credit, that Amazon owes you when it loses or damages your FBA inventory or makes a fee mistake.

What Does an Amazon FBA Reimbursement Service Do, Step by Step?

1. It audits your Seller Central data

It looks through your reports to find units Amazon lost or damaged but never paid for. The service reads your Inventory Ledger, FBA Customer Returns report, Reimbursements report, shipment records, and fee reports, usually through Amazon's Selling Partner API (SP-API). Then it matches each problem to a payment. No payment means a possible claim.

2. It validates each discrepancy

It checks which problems Amazon will really pay for. Amazon may have found the unit later, already paid you, or reversed the problem. Filtering these out keeps your claims strong. This matters because Amazon's policy warns against improper claims.

3. It builds the evidence file

It collects the proof Amazon needs to say yes. That usually means supplier invoices (to show you own the stock and what it cost), proof of delivery, shipment records, and photos or measurements for fee disputes.

4. It files the claim

It opens the case in Seller Central, or in the Inventory Defect and Reimbursement portal when Amazon offers one. Details matter here. The wrong case type or a missing quantity is a common reason for a rejection.

5. It follows up and appeals denials

It keeps working on the case when Amazon says no. Many denials can be fixed with better proof or a clearer explanation. The service tracks every open case and resends it before the deadline passes.

6. It reconciles payouts and reports

It confirms you were actually paid and shows you the numbers. A good report lists the case ID, problem type, amount asked, amount approved, amount received, and fee charged. If a report only says "total recovered," you cannot check the work.

Doesn't Amazon Reimburse Sellers Automatically?

Only partly. Amazon says it pays most lost or damaged cases at its fulfillment centers, and most customer-return cases, on its own. But it does not catch everything. Inbound shipment shortages, fee errors, and some removal cases often still need someone to file.

Amazon now pays your cost, not your selling price, for items lost or damaged before a customer orders. Under Amazon's FBA inventory reimbursement policy, "cost" means what you paid to buy or make the unit. It leaves out shipping, handling, and customs duties. You can enter this cost in the Inventory Defect and Reimbursement portal. If you do not, Amazon may guess it. This 2025 sourcing-cost change is why your cost data now sets your payout.

Example: You lose 10 units that sell for $22 and cost you $6.50 each. Amazon now owes you about $65. Under the old selling-price method, you could have gotten closer to $220 before fees. Items lost after a customer places an order are generally still paid at the selling price.

Ask any service whether it charges a fee on money Amazon paid by itself. It should not, and you should check before you sign.

How Much Does a Service Recover, and What Does It Cost?

Most services charge a success fee between 10% and 25% of what they recover. Public examples include Eva at 10% and Threecolts Margin Pro at 15%, and other providers charge 20% to 25%. Some add setup or monthly fees, so read the terms.

Providers often estimate that sellers leave 1% to 3% of yearly FBA sales unclaimed. This is a vendor estimate, not an Amazon number, and your result depends on your category, return rate, and how much stock you send in. The table below uses those estimates with a 20% fee. It is an example, not a promise.

Monthly FBA salesAnnual salesPossible recovery (1% to 3%)Fee at 20%Net to you
$5,000$60,000$600 to $1,800$120 to $360$480 to $1,440
$50,000$600,000$6,000 to $18,000$1,200 to $3,600$4,800 to $14,400
$250,000$3,000,000$30,000 to $90,000$6,000 to $18,000$24,000 to $72,000
$1,000,000$12,000,000$120,000 to $360,000$24,000 to $72,000$96,000 to $288,000

At $5,000 a month, a paid service will not change much for you. The numbers get better fast as your sales grow, which is why most services focus on sellers doing roughly $20K to $50K a month or more.

Should You Hire a Service or Do It Yourself?

You can file every claim yourself, because Amazon does not require outside help. The real question is simple: will someone do the audit every month, on time? If yes, you may not need a service. If no, a service can pay for itself.

Your situationBest starting pointWhy
Under about $10K/month, few problemsManual monthly reviewNo commission, and little to gain from outsourcing
You know the process, but finding problems is slowSelf-service softwareFaster detection, and you keep control of cases
$50K+/month and a busy ops or finance teamManaged Amazon reimbursement serviceAudit, filing and appeals are done for you
Many products or several marketplacesManaged serviceToo much data to check by hand
Strict rules on who can access your accountIn-house or hybridYou keep control of permissions

These sizes are rules of thumb, not Amazon guidance.

How Do You Choose an Amazon FBA Reimbursement Company?

Choose the company that leaves you with the most money after fees, not the one with the lowest percentage. Ask every Amazon FBA reimbursement company the same eight questions:

Walk away from anyone who guarantees a result, because only Amazon decides what it will pay.

How Does Refunzo Handle FBA Reimbursements?

Refunzo is a managed Amazon FBA reimbursement service for third-party sellers on Amazon.com. It works with private label, wholesale, online arbitrage, and brand owner sellers. It does the six steps above (audit, validate, gather proof, file, follow up, and report), so you do not have to pull reports every month.

What Can You Do This Week to Recover More?

You can protect money this week in six steps, even if you never hire a service:

  1. Update your costs. Enter the real cost per unit, without shipping, handling, or duties, in the Inventory Defect and Reimbursement portal.
  2. Download your reports. Get the last 60 to 120 days of your Inventory Ledger, FBA Customer Returns, Reimbursements, and shipment reports.
  3. Look for gaps. List every lost or damaged unit and every refund without a return that has no matching payment.
  4. Sort by deadline. File the oldest cases first.
  5. Gather proof. Pull invoices, proof of delivery, and shipment records for each case.
  6. Pick an owner. Give this job to a person, a tool, or a managed provider, and put it on the calendar every month.

Bottom Line

An Amazon FBA reimbursement service does the monthly work of finding, filing, and tracking your claims so you do not miss the deadline. It makes the most sense when your sales are high enough that you keep more than the fee and your team has no time to do the audit. Frequently Asked Questions

What does an Amazon FBA reimbursement service do?

It finds money Amazon owes you and files the claims to get it back. It checks your Seller Central data, gathers proof, files claims, appeals denials, and tracks payments. What is included depends on the provider, so ask.

How much does an Amazon reimbursement service cost?

Most charge 10% to 25% of the money they recover. Some also add setup or monthly fees. Ask what the percentage applies to, including money Amazon pays on its own.

Are Amazon FBA reimbursement services worth it?

Yes, once your sales are high enough that you keep more than the fee. At very low sales, doing it yourself is usually cheaper. Compare what you keep after fees, reversals, and your own time.

How long do I have to file an FBA reimbursement claim?

Usually about 60 days for lost or damaged inventory and 60 to 120 days for customer returns. Some removal claims allow more time. Amazon changes these rules, so check Seller Central for current dates.

Does Amazon reimburse sellers automatically?

Partly. Amazon says it pays most lost or damaged and customer-return cases on its own. It does not catch everything. Inbound shortages, fee errors, and some removals often still need a claim.

Is it safe to give a reimbursement provider access to Seller Central?

It can be, if access is limited. Ask which permissions they need and why, what data they keep, and how access ends when you leave. Never share your main login. Use Amazon's user permissions instead.

Can I file FBA reimbursement claims myself?

Yes. Amazon does not require a third party. The hard part is doing it every month: finding problems, collecting proof, filing on time, and tracking cases. Many sellers start alone and get help as they grow.

What is the difference between reimbursement software and a managed service?

Software finds possible problems, and you do the filing and appeals. A managed Amazon reimbursement service does all of it for you. You trade some control and cost for less work.

What happens if Amazon reverses a reimbursement?

Amazon can take a payment back later. Match the reversal to the original case, and check if your provider credits the fee. Get the reversal terms in writing before work starts.
